Instructions for Guest Relations / Security

Overview

This is the "see and be seen" job. All you have to do is walk around the event and observe what is going on. If you see anything you don't like, report it via your radio. We will have SJPD officers onsite who will deal with any situation you are uncomfortable with.

Arrive on time. Shifts overlap, so if you are lucky you can leave a bit early when you have been relieved by the next shift.

Equipment

Radios will be signed out when you begin your shift. Test it to make sure it is working with the others. Keep the volume so you can hear it, without being so loud as to disturb others.

Procedure

Coordinate with others and spread out to try to cover the entire carnival grounds continuously. Every 30 minutes or so, one person should make a pass through the rest of the school and make sure there is nothing questionable happening there.

In general, you don't need to take any action. If somebody is hurt (minor scrape, cut, etc) please direct them to the hospitality room for first aid. If you see a grouping of people that we should monitor, simply report what you see to the information desk.

If anything see anything serious (accident, fighting, mushroom clouds) use the radio to call for help from the police officers we have on duty. The police will also have a family radio so they can monitor the conversation as it unfolds. You are NOT required to stop fights, simply observe and report what you see so the pros can handle the situation quickly.

Check List

  • Radio checked out and tested
  • Know who is on information table for this shift
  • Know who the other guest relations people are
  • Know where the hospitality room is

Completion

At the end of your shift, return the radio to the information desk, and let them know that you are leaving. If there were problems with the radio, let them know at that time.

Instructions for Parking Personnel

All shifts this year are two hour shifts. We have the following people allocated

  • 1 or 2 adults
  • 2 to 4 students

During the Carnival

One adult is designated the lead. The lead takes and stores the money (in a pocket). The lead also decides which students should be placed where and generally coordinates the parking team.

While the carnival is in operation, we need to people at the entrance to the parking lot, taking money. We charge $2 for people who want to park in on the grounds (on the basketball courts). In exchange for the $2, you give a small parking ticket to display in the windshield.

The place of collection should be well inside the parking area, and not right on the street. There should be room for a number of cars to line up and get off the street.

The students direct drivers to the right place to park, and just make sure they don't block the driveways for anyone.

If the parking lot becomes full, it will be important for the students to let the lead person know, so that people can be shunted back to the street. As cars come out, you can let more in.

Set up

The parking spaces will be marked with a simple chalk line ... not the normal thick space lines, but enough that the students can guide people correctly. The first shift starts a bit before the carnival for two reasons. One is to make sure the lines are clear. The second reason is simply that people will start arriving before the carnival begins operation. It is OK to let people in an park early.

Hints

The main parking person should have a radio to keep in touch with the others helping with security, so that if you see something you can get it investigated without leaving your post. Remember that there are two police officers on duty while the carnival is in operation, so if you see trouble you should call for help from the professionals.
